THE POSITION

We are recruiting an Administrative Assistant – Legal for our Grenada location to manage and monitor all Pre-legal & Legal accounts and to provide administrative support to the Credit department.

You will have the following key accountabilities:

Insurance

  • Ensuring that all insurance claims are verified, validated, and processed on customer’s accounts in a timely manner.
  • Reconciliation of Insurance spread sheet and forwarding to the accountant before the 2nd of the following month.

Pre-legal and Legal

  • Preparing of legal letters to delinquent customers and updating accounts of same.
  • Preparing accounts for press advertisement.
  • Review 181-360 days accounts.
  • Preparing legal accounts for write off.
  • Preparing all accounts and forwarding to lawyers for court action.
  • Appearance at District and High Court.
  • Review all court accounts for further action, advertisement, judgements summons, bench warrants and withdrawals.
  • Follow up with legal and pre-legal customer, calls, letters, and promissory notes.
  • Follow up with lawyers for updates, follow ups and recommendations.
  • Collection of cheques from District Court and lawyers’ offices.
  • Maintain an accurate database of Bad debt Write off (BDW) customer payments, legal letters distributed and status of all litigation matters.
  • Any other duties assigned by the Manager.

THE CANDIDATE

  • Education and Experience:
  • Certificate in Legal Administration or Minimum Qualifications of Five (5) General CXC passes inclusive of Mathematics and English.
  • Minimum of three (3) years’ experience in related field.

Knowledge, Skills and Abilities:

  • Competence in Microsoft Office
  • Telephone etiquette
  • Excellent verbal and written communication skills
  • The ability to operate standard office equipment, fax machine
  • Excellent customer service skills
  • Organized with the ability to work well with little or no supervision and in a team environment
  • The ability to make simple arithmetic calculations
  • People Management skills
  • Critical thinker who displays accuracy and attention to detail
  • Highly organized and results-oriented
  • Ability to work under pressure and handle multiple tasks simultaneously
