<p class="wp-block-paragraph">The Grenada Council for Technical and Vocational Education and Training (GCTVET) is inviting applications from suitably qualified internal candidates to fill the post of Administrative Clerk at the Grenada National Training Agency (GNTA).</p>



<p class="wp-block-paragraph"><strong>Job Objective</strong><br>Under the direction of the Chief Executive Officer, the Administrative Clerk provides comprehensive administrative and clerical support to ensure the efficient operation of the organisation. The role supports day-to-day office functions, facilitates communication, and assists with coordination of programmes, meetings, and documentation in alignment with the organisation’s mandate.</p>

<p class="wp-block-paragraph"><strong>Administrative Support</strong></p>



<ul class="wp-block-list">
<li>Provide general administrative and clerical support to assigned departments and staff</li>



<li>Prepare, format, and manage correspondence, reports, and official documents</li>



<li>Maintain filing systems (both electronic and hard copy) ensuring accuracy and confidentiality</li>



<li>Manage incoming and outgoing mail, emails, and telephone communications</li>
</ul>



<p class="wp-block-paragraph"><strong>Office Coordination</strong></p>



<ul class="wp-block-list">
<li>Schedule meetings, appointments, and maintain calendars for management and staff</li>



<li>Coordinate logistics for meetings, workshops, and training sessions (including venue, materials, and refreshments)</li>



<li>Use a personal computer to prepare, draft, and edit correspondence, reports, and memoranda related to training programmes.</li>



<li>Prepare, transcribe, edit, and distribute agendas and minutes for meetings, including training coordination and planning meetings.</li>
</ul>



<p class="wp-block-paragraph"><strong>Records and Data Management</strong></p>



<ul class="wp-block-list">
<li>Assist with data entry, tracking, and reporting requirements</li>



<li>Ensure proper documentation and record-keeping in compliance with organisational standards</li>



<li>Establish, maintain, and update files, databases, and records, including records, programme documentation, and administrative files.</li>



<li>Draft and/or ensure timely responses to routine written inquiries from trainees, stakeholders, and partners.</li>



<li>Prepare and verify documentation related to training personnel, including facilitator contracts, letters of engagement, and related administrative records.</li>



<li>Collaborate with other officers to ensure data accuracy and integrity across systems</li>
</ul>



<p class="wp-block-paragraph"><strong>Customer Service and Communication</strong></p>



<ul class="wp-block-list">
<li>Serve as a first point of contact for internal and external stakeholders</li>



<li>Respond to inquiries in a professional and timely manner</li>



<li>Support internal and external communication efforts</li>



<li>Answer telephone calls in a professional and courteous manner; direct calls appropriately; record clear and accurate messages; and manage voicemail communications.</li>



<li>Welcome and assist visitors in a professional manner and notify the relevant officer or trainer of their arrival when necessary.</li>
</ul>



<p class="wp-block-paragraph"><strong>Procurement and Office Support</strong></p>



<ul class="wp-block-list">
<li>Assist with procurement processes, including preparing requisitions and tracking supplies</li>



<li>Maintain office inventory and ensure availability of supplies</li>



<li>Assist with coordination of training logistics, including registration, attendance tracking, and general programme support.</li>
</ul>



<p class="wp-block-paragraph"><strong>Qualifications:</strong></p>



<ul class="wp-block-list">
<li>CVQ Level III, Associate Degree or Diploma in Business Administration, Office Administration, Administrative Assistance or a related field</li>



<li>Minimum of 2–3 years’ experience in an administrative or clerical role</li>



<li>Experience working in a public sector or training/education environment would be an asset</li>



<li>Proficiency in Microsoft Suite or related software</li>
</ul>

<li>Excellent written and verbal communication skills</li>

<p class="wp-block-paragraph"><strong>Job Objective</strong><br>Under the direction of the Chief Executive Officer, the Project Officer is responsible for supporting the planning, coordination, implementation, and monitoring of projects and programmes undertaken by the Grenada National Training Agency (GNTA), particularly those related to Technical and Vocational Education and Training (TVET), workforce development, and skills enhancement. The role ensures that projects are delivered efficiently, meet established objectives, and align with national development priorities and GNTA’s strategic goals.</p>

<li>Assist in the design and development of project proposals, concept notes, budgets, timelines and work plans</li>



<li>Coordinate project planning activities in collaboration with internal departments and external stakeholders</li>



<li>Ensure alignment of projects with GNTA’s strategic priorities and TVET policies</li>
</ul>



<p class="wp-block-paragraph"><strong>B. Project Implementation</strong></p>



<ul class="wp-block-list">
<li>Oversee day-to-day execution of assigned projects and initiatives in alignment with project schedule, budget and project plan.</li>



<li>Coordinate training programmes, workshops, and outreach activities under project portfolios</li>



<li>Liaise with stakeholders including training providers, consultants, and service providers to ensure timely delivery</li>
</ul>



<p class="wp-block-paragraph"><br><strong>C. Monitoring, Evaluation and Reporting</strong></p>



<ul class="wp-block-list">
<li>Track project performance against established indicators and targets</li>



<li>Collect data, in collaboration with the Monitoring and Evaluation Officer, to support project monitoring and evaluation</li>



<li>Collaborate with the Monitoring and Evaluation Officer to prepare periodic progress reports, briefs, and updates for management and funding agencies</li>



<li>Support the M &amp; E Officer in the development of project evaluation reports and lessons learned</li>



<li>Ensure the achievement of project milestones in accordance with the project plan, schedule and quality requirements.</li>
</ul>



<p class="wp-block-paragraph"><br><strong>D. Stakeholder Engagement and Partnerships</strong></p>



<ul class="wp-block-list">
<li>Lead the development of the NTA’s stakeholder engagement strategy</li>



<li>Engage with government agencies, private sector partners, donors, and community organisations</li>



<li>Facilitate consultations, meetings, and workshops with stakeholders</li>



<li>Support the development and maintenance of strategic partnerships</li>



<li>Represent GNTA in meetings and events as required</li>
</ul>



<p class="wp-block-paragraph"><strong>E. Financial and Administrative Support</strong></p>



<ul class="wp-block-list">
<li>Assist with project budgeting, procurement processes, and financial tracking</li>



<li>Ensure proper documentation and record-keeping for all project activities</li>



<li>Support compliance with donor requirements and GNTA policies</li>



<li>Coordinate logistics for project-related events and activities</li>
</ul>



<p class="wp-block-paragraph"><strong>F. Technical Support to TVET Initiatives</strong></p>



<ul class="wp-block-list">
<li>Support the implementation of TVET programmes, including C/NVQ delivery, apprenticeships, and workforce development initiatives</li>



<li>Assist in integrating emerging areas (e.g., green skills, digital skills) into project activities</li>



<li>Collaborate with Quality Assurance, Standards, and Training Units to ensure programme quality of various projects</li>
</ul>



<p class="wp-block-paragraph"><strong>Qualifications:</strong></p>



<ul class="wp-block-list">
<li>N/CVQ Level IV/ Bachelor’s Degree in Project Management, Business Administration or Management, Education, Development Studies, or a related field</li>



<li>Minimum of 3–5 years’ experience in project coordination or management</li>



<li>Experience in working in TVET, education, workforce development, or implementing donor-funded projects is an asset</li>



<li> Training or certification in Project Management would be an advantage<br></li>
</ul>
