Position: Curatorial and Collections Coordinator – Bilingual (English/Spanish)

Location: St. George’s, Grenada
The Grenada National Museum invites applications from suitably qualified and experienced persons for the position of Curatorial and Collections Coordinator – Bilingual (English/Spanish).
The successful candidate will provide dedicated administrative, secretarial, coordination, documentation and bilingual communication support to the Head of Curations and Collections and assist with the effective organisation and administration of the Department’s activities.
This position requires a highly organised, discreet and resourceful professional capable of coordinating multiple departmental activities while maintaining accurate records, supporting meetings and projects, managing administrative workflows and facilitating effective communication across a multidisciplinary working environment.
Fluency in Spanish and English, both orally and in writing, is a mandatory requirement of the position.

Key Responsibilities
- Provide comprehensive administrative and secretarial support to the Head of Curations and Collections.
- Manage departmental schedules, meetings, appointments, correspondence, records and administrative activities.
- Prepare and format professional correspondence, memoranda, reports, agendas, briefing notes, work plans and other departmental documentation.
- Coordinate meetings, including invitations, agendas, supporting documents and logistical arrangements.
- Attend departmental, technical, management, programme and stakeholder meetings as required and take accurate and comprehensive minutes.
- Maintain records of decisions, action items, responsibilities, deadlines and matters requiring follow-up.
- Provide oral interpretation from Spanish into English and English into Spanish during authorised meetings, discussions, training activities, site visits, field activities and professional engagements.
- Translate appropriate correspondence, reports, presentations, schedules and working documents between Spanish and English.
- Facilitate effective communication between English-speaking and Spanish-speaking personnel, including where the Head of Curations and Collections is not personally present.
- Communicate approved departmental information and provide appropriate factual and administrative updates to authorised internal and external stakeholders.
- Receive and document information, requests and enquiries and refer matters requiring decisions to the appropriate authorised officer.
- Maintain systems for tracking departmental assignments, deadlines, deliverables and follow-up actions.
- Coordinate administrative arrangements for departmental projects, training activities, site visits, field activities and other professional engagements.
- Maintain organised electronic and physical departmental records and protect confidential and sensitive information.
- Work closely with senior management, Museum staff, Government officials, institutional partners, Spanish-speaking technical personnel and other authorised stakeholders, as required.
- Undertake other related administrative, secretarial and coordination duties consistent with the responsibilities of the position.
Qualifications and Experience
- A Bachelor’s degree in Spanish, Modern Languages, Business Administration, Office Administration, Management, Communication, Heritage Studies, Museum Studies, History, Social Sciences or another relevant discipline; or an appropriate combination of recognised qualifications and relevant professional experience.
- Relevant experience in administration, secretarial support, departmental coordination or a comparable professional role.
- Demonstrated experience supporting a manager, department or professional team.
- Experience preparing professional correspondence, reports and meeting minutes.
- Strong organisational, records-management and digital administrative skills.
- Demonstrated ability to handle confidential and sensitive information professionally.
- Experience in a museum, heritage or cultural organisation, research environment, Government agency, educational institution or international programme would be advantageous.
- Formal training or certification in translation or interpretation would be an asset.
Mandatory Language Requirement
- Applicants must be fluent in Spanish and English, both orally and in writing. Spanish fluency is a mandatory condition of eligibility for the position.
- Understand, speak, read and write Spanish at a professional level;
- Communicate effectively in English;
- Interpret professional discussions from Spanish into English and English into Spanish; and
- Translate appropriate written material accurately between both languages.
- Shortlisted candidates may be required to demonstrate their Spanish-language proficiency through oral, listening, interpretation and written translation exercises as part of the selection process.

Working Arrangements and Mobility
- The position is based in St. George’s, Grenada.
- The successful candidate will be required to work outside normal working hours when necessary, including evenings and, where operationally required, weekends or public holidays, in connection with authorised meetings, official functions, training activities, fieldwork, site visits and institutional events.
- The post holder may be required to work at different Museum-controlled locations and other approved sites throughout Grenada.
- Possession of a valid driver’s license and access to a reliable motor vehicle would be considered an asset.
Eligibility, Work Permit and Relocation

- Applicants who are not Grenadian citizens or who do not otherwise possess the legal right to work in Grenada should note that any work permit, immigration or other legal requirements associated with taking up employment in Grenada will be the responsibility of the successful candidate, in accordance with the applicable laws and regulations of Grenada.
- The Grenada National Museum will provide such employment documentation as may reasonably be required from the employer to support the relevant administrative process; however, responsibility for obtaining and maintaining the necessary legal authorisation to work in Grenada rests with the successful candidate.
- Where relocation to Grenada is required, all travel, relocation and accommodation arrangements and associated costs will be the responsibility of the successful candidate. The position does not include employer-provided accommodation, airfare or relocation expenses.
