Job Description
The Grenada National Museum invites applications from suitably qualified and experienced persons for the position of Executive Secretary Bilingual (English/Spanish).
The successful candidate will provide high-level executive secretarial, administrative and coordination support to the Museum’s leadership while serving as a key bilingual communication resource for the organisation.
The position requires a highly organised, discreet and professionally mature individual who must be fluent in Spanish and English, both spoken and written, possess excellent administrative and communication skills, and demonstrate the ability to operate effectively in a high dynamic, multidisciplinary and multicultural professional environment.

Applicants must be fluent in Spanish and English, both spoken and written. Spanish fluency is an essential condition of eligibility for this position and will be assessed during the recruitment process.
Key Responsibilities
- Provide high-level executive secretarial and administrative support to the Director and designated members of senior management.
- Manage appointments, schedules, meetings, correspondence and other executive administrative requirements.
- Prepare professional correspondence, memoranda, reports, briefing documents, agendas and other administrative materials.
- Coordinate meetings and ensure that relevant documentation and logistical arrangements are completed in a timely manner.
- Attend management, technical, institutional and stakeholder meetings as required.
- Take accurate and comprehensive minutes and maintain records of decisions, action items, responsibilities and deadlines.
- Provide accurate and effective oral interpretation from Spanish to English and English to Spanish during meetings, discussions, training activities, site visits and other authorised engagements.
- Translate appropriate correspondence, administrative documents, presentations, reports and other materials between English and Spanish.
- Facilitate clear and professional communication between English-speaking and Spanish-speaking personnel and stakeholders.
- Assist with the coordination and documentation of institutional projects, professional development activities and other programmes.
- Establish and maintain organised electronic and physical filing and records-management systems.
- Maintain appropriate systems for tracking correspondence, decisions, assignments and outstanding actions.
- Liaise professionally with staff, Government agencies, institutional partners and other authorised stakeholders.
- Assist with the coordination of official visits, meetings and institutional engagements.
- Handle confidential and sensitive information with the highest degree of discretion.
- Support effective communication and information flow across the organisation.
- Undertake other related executive administrative duties consistent with the responsibilities of the position.
Qualifications and Experience
- A Bachelor’s degree in Spanish, Modern Languages, Business Administration, Management, Office Administration, Communication, International Relations, or another relevant discipline; or an appropriate combination of recognised qualifications and relevant professional experience.
- Fluency in Spanish and English, both spoken and written, which is a mandatory requirement for the position.
- Demonstrated ability to communicate and interpret accurately and effectively between Spanish and English in a professional environment.
- Demonstrated ability to translate written material accurately from Spanish to English and English to Spanish.
- Strong command of written English, including grammar, spelling, punctuation and professional correspondence.
- Demonstrated experience in executive secretarial, administrative or comparable professional support.
- Experience preparing correspondence, reports, minutes and other professional documentation.
- Strong proficiency in Microsoft Office applications and contemporary digital communication and document-management platforms.
- Experience handling confidential and sensitive information.
- Formal training or certification in Spanish–English translation or interpretation would be an asset.
- Experience within a Government agency, statutory body, cultural institution, international organisation, educational institution or similarly structured professional environment would also be advantageous.

Mandatory Language Requirement
- Fluency in Spanish is an essential and mandatory requirement for this position. Applicants who are not fluent in Spanish should not apply.
- The successful candidate must possess a high level of proficiency in spoken, written and comprehension Spanish, together with professional proficiency in English. The individual must be capable of communicating confidently and accurately in Spanish in professional settings, including meetings and formal discussions, and of facilitating communication between Spanish-speaking and English-speaking parties.

Working Arrangements
The position is based in St. George’s, Grenada.
The successful candidate may be required to attend meetings, institutional activities, official engagements and site visits at various locations and, where necessary, outside normal working hours.
Eligibility and Relocation
