Title: Listings Administrator
Department: Operations Division
Reports To: Managing Director & Operations Manager
Days/hours of Work: Full Time (M-S)

Job Summary
Provide efficient and meticulous administrative and marketing support to the Operations Manager and
Managing Director. Assist in providing clients with real estate services that align with the company’s
vision.

Essential Job Functions

Communication/ Service Behavior:
– Ensure service standards are maintained during interactions with clients, contractors, lawyers, valuators, architects, surveyors, suppliers, institutions, utility companies, employees, etc. 
– Use excellent grammar and professional language in all correspondence.  
– Acknowledge emails within 4 hours of receipt. If the information is pending, provide a complete initial reply within 24 hours during the work week and within 48 hours otherwise. 
– Greet clients and answer telephones as per Century 21 Grenada standards. 

Listing Management:  
– Create and Update listing forms when necessary.
– Examine listing forms the associates submit to ensure all the relevant information is captured.
– Create and maintain MLS Sales & Rental Listings in the C21 Multi-Listing Service.
– Assist with taking property photos and videos for use in marketing efforts.
– Photo editing using Photoshop.
– Create and update listings on external websites with listing information.
– Update listing details in MLS for price reduction/increase, withdrawals, etc.
– Provide listing changes or updates to associates in MST.
– Prepare listing agreements and ensure renewal before the expiration date when necessary.
– Assist with the preparation of Vendor or Client status reports.

Sales & Rentals Transaction Support:
– Assist with sales transactions by preparing offer letters.

Marketing:
– Compile a catalog of appropriate photos for social media platforms.
– Coordinate & implement marketing videos & property videos on website(s), blog(s), social media, and client database email campaigns.
– Update Windows monitor and Windows display.

Administrative Support:
– Compile a catalog of appropriate photos for social media platforms.
– Coordinate & implement marketing videos & property videos on website(s), blog(s), social media, and client database email campaigns.
– Update Windows monitor and Windows display.

Minimum Job Requirements
– English Language and Mathematics at CSEC level
– Demonstrates competence in the use of Adobe Photoshop
– At least two years’ work experience as an Administrator
– Demonstrate working experience in managing social media platforms (Facebook, Instagram, WhatsApp)
– Monitoring social media sites and responding to routine comments and inquiries
– Working knowledge of Microsoft Office software, including Outlook, Word, Excel, and Dropbox or One Drive.
– Ability to multi-task, moving from one task to another in an organized manner.
– Ability to prepare & update flyers for marketing & advertising activities, etc.
– Attention to detail.
– Works well in a professional team environment
– Must be able to ask questions of the Leadership Team
– The ability to be responsive, multi-task, and meet deadlines
Valid driver’s license. Consistent driving experience within the last 2 years
