We are seeking to hire a Receptionist and Entry Level legal administrative Assistant with exceptional customer service and administrative skills for a Boutique Corporate Law Firm

Job Title: Receptionist and Entry-level Administrative Assistant (no prior experience necessary)

Job Summary: As a Receptionist and Entry-Level receptionist and Administrate Assistant, you will be the first point of contact for clients and visitors.

Responsibilities include (but are not limited to ):

  • Front Desk Management including greeting and directing visitors and clients in a professional manner, managing incoming phone calls and emails; ensuring each is handled appropriately)
  • Sorting incoming and outgoing mail
  • Perform varying clerical tasks including:
  • Providing confidential administrative support for legal staff (may provide specific support to a specific legal specialty (e.g Intellectual Property, Real Estate etc.)
  • Preparation of legal documents
  • Preparation of Court Files
  • Filing and maintenance of legal documents
  • Assisting with organizing office events, meeting and other tasks and needed. Support various administrative functions to ensure smooth operations.
  • Daily record keeping with electronic and hard copy filing of documents
  • Obtaining relevant information from other Firms, Organizations and Agencies.
  • Create and organize information, and generate refence tools for ease use by the office
  • Respond to all case/client related queries complaints effectively.
  • Ensure efficient and effective administrative information and assistance
  • Providing refreshment to clients

Minimum Job Requirements
Minium of 5 CXC’s (CSEC) (Inclusive of English Language (at least Grade II;Grade I preferred) and Mathematics (at least Grade III)

Knowledge, Skills and Abilities

  • Ability to develop and maintain record keeping systems and procedures
  • Strong interpersonal and communication skills and the ability to work effectively in a small team.
  • Excellent Customer Service skills.
  • Ability to communicate effectively, both orally and in writing.
  • Skill in the use of personal computers and Microsoft Office Applications.
  • Ability to maintain confidentiality of records and information.
  • Ability to quickly grasp and retain information and an eagerness to learn and develop within the Firm.
